Write a useful gas-station owner sale brief
Separate the operating business, real estate and fuel records in one practical starting document.
Define what could be sold
A station sale can involve an operating business, real estate, selected equipment or a combination. Write a plain-language description of the scope you are considering. If you are still deciding, say so. An early brief is a starting point rather than a final transaction structure.
Explain ownership and control
Identify the entity operating the business and the party owning or leasing the land. Note other owners whose involvement may be required. Do not assume that control of daily operations means authority to market every asset connected with the site.
For a leased operation, index the lease and amendments, remaining term, renewal options and any issues your advisers need to review. Keep the actual documents separate from your preliminary summary.
Present the operating picture
Separate fuel gallons and performance from store sales, foodservice, rent or other income. State the reporting period and source for each figure. A single revenue total can hide meaningful differences between an operating business and income associated with the property.
Note unusual closures, construction, owner compensation or other circumstances that affect interpretation. Keep the original records intact. Ask your accountant to explain any proposed adjustments rather than replacing recorded results with an unsupported earnings claim.
Describe the physical site
Summarize the format, access, dispensers, buildings and equipment. Identify owned, leased and supplier-provided assets. List known maintenance work and the location of supporting records. Treat this as a preparation list, not a statement that the property is compliant or suitable for a buyer.
State the next decision
Include your market, preferred timing, broad sale scope and any questions you need answered before proceeding. An asking price is optional at first contact. A meaningful reply email and an accurate ownership role are more useful than an invented valuation.
For multiple locations, use the same headings for every site. A consistent index lets you distinguish individual property issues from portfolio-wide arrangements without averaging away the differences.
Start your private owner summary
Share the property format, market and what you are considering. Keep detailed records in your own files until an appropriate review is arranged.
